Potter Hall Procedures
1. Any individual or non-profit group (hereafter referred to as user) wishing to use Potter Hall must complete the application form and return or fax it to the Branch Librarian at least one week before the scheduled date. Realizing that emergency situations do occur, exceptions for less than one week's notice may be made.
2. After reviewing the application, the Branch Librarian will confirm the reservation for the room. Potter Hall cannot be used without prior approval.
3. If for any reason the user needs to cancel a meeting, the Branch Librarian is to be notified as soon as possible.
4. The user of the Potter Hall is responsible for setting up the room as well as returning the room to its original condition. This includes the removal of all cups, cans and food. Alcoholic beverages are prohibited.
5. If a meeting is scheduled to begin after the library is closed, then the user must come into the library during regular business hours to pick up the key. The key will only be available during regular business hours.
6. The user is responsible for closing up the library building if the meeting finishes after the library has closed or is scheduled when the building is not open for regular library business. The user will . Ensure all meeting attendants have vacated the building. . Check the restrooms (lights, water off). . Lock the door to Potter Hall and close the doors at the top and bottom of the stairwell. . Lock outside entrance door with black key. . Turn off downstairs lobby lights at switch to left of door. Lights will stay on in stairwell. . Give the outside door a tug to be sure it has locked.
7. The user will seal the keys in the bag, and return the bag in the Book Drop located at the front steps of the building.
The Board of Trustees through its designated agent, the Library Director, reserves the right to withdraw Potter Hall privileges from an individual, group, or organization not conforming to its policies and procedures. The Board may also refuse the use of the rooms by an individual or group if its use would interfere with normal library operations.
